Refund, Cancellation, and Returns Policy

Resolute Mediation & Arbitration Inc. (“RMA”) and its training division, the Alternative Dispute Resolution Academy (“ADRA”), are committed to providing high-quality professional services, training programs, continuing education courses, coaching, and related materials.
This policy explains when refunds, cancellations, transfers, credits, exchanges, and returns may be available. Specific contracts, proposals, statements of work, registration agreements, or government purchase orders may contain different terms. When they do, the terms of the applicable written agreement will control.
1. Online and Self-Paced Courses
Unless otherwise stated on the course registration page, a participant may request a refund within seven calendar days after purchase, provided that the participant has:

Not completed more than 10% of the course;

Not downloaded substantial course materials;
-
Not completed or attempted a final examination or graded assessment;
-
Not received a certificate, continuing education credit, CEU, PDU, CPE credit, CME credit, or other professional credit; and
-
Not otherwise substantially accessed or used the course.
Once a participant has substantially accessed the course, completed an assessment, downloaded protected materials, or received a certificate or professional credit, the purchase is non-refundable.
Failure to complete a course before its expiration date does not ordinarily qualify for a refund. At ADRA’s discretion, the participant may be offered an extension, transfer, or account credit.
2. Downloadable and Digital Products
Downloadable materials and digital products are generally non-refundable once access has been provided or the product has been downloaded. This includes:

Electronic books and manuals;
-
Templates, forms, workbooks, and toolkits;
-
Downloadable videos or recordings;
-
Digital reference materials;
-
Software or online tools;
-
Examination preparation materials; and
-
Course documents made available through a learning management system.
A refund or replacement may be provided if the file is defective, corrupted, materially different from its description, or inaccessible because of an error attributable to RMA or ADRA.
3. Live Virtual and In-Person Training
Unless different terms are stated in the registration materials or applicable contract, participant cancellations are handled as follows:

More than 14 calendar days before the program: The participant may receive a refund, less any stated administrative or non-refundable processing fee.

Seven to 14 calendar days before the program: The participant may receive a credit toward another eligible ADRA program or transfer the registration to another qualified participant.

Fewer than seven calendar days before the program: Registration fees are non-refundable, but ADRA may permit a participant substitution or transfer at its discretion.

Failure to attend: No refund will be issued for a participant who does not attend and does not provide timely cancellation notice.
Participant substitutions are generally permitted before the program begins, subject to eligibility requirements, course prerequisites, security requirements, and any restrictions imposed by the client or sponsoring agency.
4. Multi-Session Programs, Certificate Programs, and Leadership Journeys
Deposits, enrollment fees, assessments, customized materials, and fees for services already delivered are non-refundable.
After a multi-session program has begun, refunds will ordinarily not be issued. ADRA may, at its discretion, provide a prorated account credit for undelivered portions of the program when extraordinary circumstances prevent continued participation.
Participants who withdraw, fail to attend, or do not complete required activities may be ineligible to receive a certificate, CEUs, PDUs, CPE credits, CME credits, or other professional recognition.
5. Coaching, Mentoring, Consulting, Mediation, and Professional Services
Fees for completed professional services are non-refundable.
Appointments must be canceled or rescheduled in accordance with the notice period stated in the applicable engagement agreement, registration terms, invoice, or confirmation notice. Unless otherwise stated, at least 24 hours’ notice is required.
Late cancellations, missed appointments, or failure to appear may result in forfeiture of the scheduled session fee, deposit, or minimum service charge.
Retainers, deposits, assessment fees, case-opening fees, administrative fees, and fees for preparatory work may be non-refundable once work has begun or costs have been incurred.
Government contracts, corporate engagements, agency-sponsored programs, mediations, arbitrations, investigations, and customized training services are governed by their applicable contract, purchase order, task order, engagement agreement, or statement of work.
6. Customized and Organization-Sponsored Training
Customized programs require advance planning, instructor scheduling, curriculum development, technology preparation, and administrative support. Consequently:

Deposits and curriculum-development charges may be non-refundable;
-
Completed preparation and development work will be invoiced;
-
Approved travel and non-cancellable expenses remain the client’s responsibility;
-
Cancellations or postponements may be subject to the terms of the applicable proposal, contract, or statement of work; and
-
Rescheduling is subject to instructor and facility availability.
7. Cancellations by RMA or ADRA
RMA or ADRA may cancel, postpone, reschedule, or modify a program because of low enrollment, instructor unavailability, severe weather, public emergencies, government restrictions, technology failures, safety concerns, or circumstances beyond reasonable control.
When RMA or ADRA cancels a program and does not provide a reasonable substitute date or delivery option, affected participants may choose:

A refund of the eligible registration fee;

Transfer to another eligible program; or
-
An account credit.
RMA and ADRA are not responsible for non-refundable travel, lodging, transportation, lost wages, or other incidental expenses unless expressly agreed to in writing.
8. Certificates and Continuing Education Credit
Refunds will not be issued merely because a participant:

Does not complete attendance or participation requirements;
-
Does not achieve a required examination score;
-
Does not submit assignments by the deadline;
-
Does not satisfy identity-verification requirements;
-
Is found ineligible for a particular license or certification;
-
Fails to provide required professional information; or
-
Does not obtain approval from an employer, licensing board, certification organization, or other third party.
Issuance of CEUs, PDUs, CPE credits, CMEs, certificates, or professional development credit is subject to all applicable attendance, assessment, participation, identity-verification, and completion requirements.
RMA and ADRA do not guarantee that a particular employer, agency, licensing body, court, bar association, certification organization, or professional board will accept a course or certificate unless expressly stated in writing.
9. Physical Products and Printed Materials
A physical product may be returned within 30 calendar days after delivery if it is:

Unused;
-
In its original condition;
-
In its original packaging; and
-
Accompanied by a receipt or other proof of purchase.
The following items are not returnable unless defective or damaged upon delivery:

Customized, personalized, or specially printed materials;
-
Opened software or media products;
-
Used books, manuals, or workbooks;
-
Gift cards;
-
Downloadable products;
-
Clearance or final-sale products; and
-
Items damaged after delivery for reasons not attributable to RMA or ADRA.
Before returning any physical product, the purchaser must contact RMA or ADRA for return authorization and shipping instructions. Unauthorized returns may be refused.
10. Damaged, Defective, or Incorrect Items
A purchaser who receives a damaged, defective, or incorrect physical item should contact us within seven calendar days after delivery.
The request should include:

The purchaser’s name;
-
Order or invoice number;
-
A description of the problem; and
-
Photographs or other documentation, when appropriate.
After review, RMA or ADRA may provide a replacement, correction, account credit, or refund.
11. Return Shipping
Unless the return results from an error by RMA or ADRA, the purchaser is responsible for return-shipping costs.
Original shipping charges, expedited delivery fees, and return-shipping charges are non-refundable unless otherwise required by law or approved in writing.
Customers should use a trackable shipping method for returned items. RMA and ADRA are not responsible for returned items that are lost, misdirected, or damaged during shipment.
Do not return an item to an instructor, manufacturer, contractor, or third-party service provider unless specifically instructed to do so.
12. Sale and Promotional Purchases
Products, courses, and registrations identified as final sale, clearance, promotional, discounted, scholarship-based, or non-refundable are not eligible for a cash refund unless required by law.
At its discretion, ADRA may permit a transfer or account credit.
13. Gift Cards and Gift Purchases
Gift cards are non-refundable and may not be redeemed for cash except where required by law.
When an eligible item was purchased as a gift, an approved refund will ordinarily be issued to the original purchaser or original payment method. ADRA may instead issue a course credit or gift credit when appropriate.
14. Refund Review and Processing
All refund requests must be submitted in writing and include:

The purchaser’s or participant’s full name;
-
Order, invoice, registration, or transaction number;
-
Name of the course, program, service, or product;
-
Purchase date;
-
Reason for the request; and
-
Any supporting documentation.
After receiving the request and, when applicable, the returned item, RMA or ADRA will review the request and notify the purchaser whether it has been approved, denied, or requires additional information.
Approved refunds will be returned to the original payment method whenever practicable. Processing times vary by financial institution and payment provider. Please allow approximately five to 10 business days after approval for the credit to appear, although some financial institutions may require additional time.
Processing charges, merchant fees, administrative fees, completed-service charges, and other non-refundable amounts may be deducted when permitted by law and disclosed in the applicable transaction terms.
15. Late or Missing Refunds
A customer who has received confirmation that a refund was processed but has not received the funds should:

Confirm that sufficient processing time has passed;
-
Review the relevant bank or credit-card account;
-
Contact the card issuer or payment provider; and
-
Contact the financial institution associated with the original payment method.
After completing these steps, unresolved concerns may be sent to admin@adraceu.com with the order or invoice number and refund-approval information.
16. Chargebacks and Payment Disputes
Customers should contact RMA or ADRA before initiating a chargeback or payment dispute so that the matter can be reviewed and addressed promptly.
Submitting a chargeback does not eliminate responsibility for valid charges, completed services, downloaded materials, accessed courses, contractual cancellation fees, or other amounts properly due.
RMA and ADRA reserve the right to suspend account access, withhold certificates, cancel registrations, or refer unpaid balances for collection when a payment is reversed or disputed without a valid basis.
17. Account Credits and Transfers
Any credit or transfer approved under this policy:
-
Is non-transferable unless specifically authorized;
-
Has no cash value;
-
Must ordinarily be used within 12 months after issuance;
-
May be limited to programs offered directly by ADRA; and
-
May not be combined with certain discounts, scholarships, or promotions.
Credits that are not used before their expiration date may be forfeited.
18. Exceptions and Applicable Law
RMA and ADRA may approve reasonable exceptions based on documented emergencies, military obligations, agency-directed cancellations, serious technical failures, or other extraordinary circumstances.
Nothing in this policy limits any non-waivable right or remedy available under applicable law.
